What to do when a death occurs...
These are the general guidelines for beginning the transportation process after someone dies.
If your loved one is at home AND IS under hospice care...
Contact the hospice nurse immediately.
The nurse will come to the home, make an official pronouncement of death, and contact the primary care physician, as a doctor must sign the death certificate.
The care facility staff will notify you and the appropriate authorities immediately upon a death.
If you haven't already, let the nurse know that you've selected Gentle Water Cremation as your funeral home. They will notify us when it's time you feel ready for us to transport your loved one into our care.
If your loved one is at home AND IS NOT under hospice care...
If your loved one dies at home and is not under hospice care, you must call 911. This is considered an unattended death, and the proper authorities must respond.
If the death appears to be natural and your loved one had known medical conditions, you may request a non-emergency response, meaning police and paramedics arrive without lights and sirens.
Responders will notify the county Medical Examiner (ME), and in many cases your loved one will be transported to the ME’s facility while they determine whether an examination is needed.
Once this process begins, please call us to let us know you have chosen Gentle Water Cremation and that your loved one is with the Medical Examiner.
We will have the primary next of kin complete an ME release authorization form, and our team will communicate directly with the Medical Examiner to coordinate the release of your loved one into our care.
If your loved one is at a nursing home, hospice facility, or hospital hospice wing...
The care facility staff will notify you and the appropriate authorities immediately upon a death.
Let the staff know that you've selected Gentle Water Cremation as your funeral home. They will notify us when it's time for us to transport your loved one into our care.
If your loved one is at a hospital (and not in hospice)...
Let the staff know that you've selected Gentle Water Cremation as your funeral home. They will let us know when we can receive your loved one into our care.
Next, the primary next of kin must contact us to complete a Release Authorization Form.
Once signed, we provide written permission to the hospital to bring your loved one into our care.
After we dispatch transport to bring your loved one into our care, it’s time for you to begin arrangements.
The online form gathers the essential information we need to begin, including your loved one’s vital statistics for the death certificate and the next of kin’s contact details. Completing it early helps prevent delays in filing the death certificate.
We know it can feel overwhelming to navigate what happens next, so here's a simplified look at the steps we take with you once your loved one is in our care.

Once our transport team is dispatched, we will be in touch within 24 hours to let you know that your loved one is in our care, and connect with you to discuss your options, review your needs, sign paperwork, and finalize any important information regarding your loved one’s vital statistics.
Approval may take up to 14 days.
The death certificate has to be signed by both the certifying physician and the medical examiner before we can schedule a water cremation. This can take up to 14 days, but we do what we can to move it along as quickly as possible. Once done, we are approved to schedule the water cremation.
In the meantime, we finalize arrangements.
In the meantime, we will connect with you to review and finalize the details of your desired arrangements, including urn selection, memorial or funeral plans, post-cremation services, and any other wishes.

We will let you know once the water cremation is scheduled. You'll be notified when we start the process, and we're happy to include songs, readings, and photos if this feels right.
When the water cremation is complete, you'll receive an invitation to schedule a reunion appointment.
